In Spotler Engage, you can control which articles are included in a newsletter by hiding articles in a report or by selecting specific articles using labels. These settings are managed in the report linked to the newsletter, allowing you to control exactly which content is sent.
What determines which articles are included in the newsletter?
The newsletter is automatically generated based on the articles visible in the report linked to the newsletter.
By default, all articles in the report are included in the newsletter.
If you do not want to include all articles, you can adjust this using two methods:
Each method provides control over the newsletter content but is used in different scenarios.
On this page, the following topics are covered:
- How do you hide articles in a report?
- How do you select articles using labels?
- Which method should you choose?
- How do you improve newsletter relevance?
- Frequently asked questions
How do you hide articles in a report?
This method allows you to exclude specific articles by hiding them in the report. Hidden articles are not included in the newsletter.
Use this method when most articles are relevant and you only want to exclude a few.
Steps
- Go to the Reports overview.
- Select the report linked to the newsletter.
- Open Report view and switch to Message list.
- Review the articles in the message list.
- Click the eye icon for articles you want to exclude.
Hidden articles will not be included in the newsletter.
Good to know
If you do not hide any articles, all articles in the report are automatically included in the newsletter.
You can also mark articles with the favorite icon. These articles are prioritised and displayed at the top of the newsletter.
Important
Always check before the scheduled send moment whether the correct articles are hidden. If no changes are made, all articles will be sent.
How do you select articles using labels?
This method gives you full control by including only selected articles in the newsletter.
Instead of excluding articles, you actively choose which articles to include.
Steps
- Open the report linked to the newsletter.
- Switch from report view to message list.
- Apply a label to the articles you want to include.
- Create or use a report that only shows articles with this label.
- Use a search query such as:
Label:"Include in newsletter"
- Link the newsletter to this filtered report.
Only labelled articles will be included in the newsletter.
Good to know
If no articles are labelled before the send moment, an empty newsletter will be sent.
Important
Always verify before sending that the correct articles are labelled.
Which method should you choose?
The best method depends on how much control you need and how many articles you want to manage.
Choose hiding articles if:
- you want a quick and simple way to exclude content
- most articles are relevant
- you only need to remove a few articles
Choose labels if:
- you want full control over newsletter content
- you want to send a small, curated selection
How do you improve newsletter relevance?
A relevant newsletter starts with a strong article selection.
Combine the following:
- a well-defined search query with relevant keywords
- report filters, such as source types
- manual selection of articles
This approach helps prevent including too many or too few articles.
Tip
The newsletter is sent automatically at a scheduled moment. Always review your selection before sending.
