General settings

In Engage, you manage the settings that apply to the entire environment via Settings > General, such as the Bitly integration, AI features, automatic deletion of private data (GDPR), two-factor authentication and the way external links are opened.

The general settings in Engage are environment-level settings: a change applies to all users in the environment, not to a single user. You open them via Settings > General.

On this page you can read more about:

Settings in detail

Linking a Bitly account

Bitly is an external service that shortens long URLs to a short Bitly link. By linking your own Bitly account to Engage, you shorten links via the Link shortener, the Publish module or the Webcare module, and the clicks on those links are retrieved via your own Bitly account.

The Link shortener only works with a linked Bitly account

Without a linked Bitly account, the Link shortener does not work. If you do not want to link a Bitly account, disable access to the Link shortener at role level. Read how to do this in How do you create a role in Engage?

Bitly tokens for the Link shortener

To shorten links, Engage uses tokens from your Bitly account. As long as your account has enough tokens, you can shorten links. Once the tokens run out, the Link shortener stops working until you purchase new tokens in your account at bitly.com.

Linking a Bitly account to Engage

  1. Create an account at bitly.com, if you do not have a Bitly account yet.
  2. In Engage, click your login name in the top right corner and go to Settings > General.
  3. At Bit.ly account, click Get Bitly token.
  4. Log in to Bitly with your Bitly login credentials to complete the link.

Unlinking a Bitly account

If you no longer want to use Bitly in Engage, revoke Engage's access to your Bitly account.

  1. In Engage, go to Settings > General and at Bit.ly account, click Reconnect. You will be redirected to Bitly.

  2. In Bitly, click Account settings.

  3. At the link with Engage, click Revoke Access to revoke access.

Enabling or disabling AI features

The AI setting determines whether users in Engage can use features that use AI. The setting applies to the entire environment, not per user. This way, your organization decides for itself whether AI is used within Engage, for example based on internal policy. Read more in How do I enable and disable AI features in Engage?

Automatically deleting private data (GDPR)

With the setting GDPR - automatically delete private data, Engage automatically deletes private data and webcare actions that are older than a period you set yourself. After activation, the software deletes the data that is older than the set number of months every night.

The setting deletes:

  • all Twitter DM conversations
  • all Facebook Messenger conversations
  • all WhatsApp conversations
  • all live chat conversations
  • all webcare actions, such as completing, replying or tagging, on both private and public messages

Deleted data affects your webcare reports

Because webcare actions on public messages are deleted as well, you can no longer report on webcare actions older than the set period. For example, if you set a deletion period of 12 months, you can no longer see how many or which messages an agent completed, replied to or tagged before those 12 months. Deleted data cannot be restored.

Activating automatic deletion

  1. Go to Settings > General > GDPR - automatically delete private data.
  2. Set the number of months after which private data and webcare actions are deleted and activate the setting.
  3. All users with the administrator role receive a notification by email. From that moment, they have 7 days to deactivate the setting.
  4. After 7 days, the data is permanently deleted. After that, the software deletes the data that is older than the set period every night.

Why can't I keep only the statistics and delete the content?

Engage is not designed to keep statistical data while the content of messages is deleted. Completely deleting old data ensures that the software runs more smoothly and that the processing complies with the GDPR (General Data Protection Regulation).

Is my data safe?

We develop secure and reliable software and handle personal data safely and responsibly. We ensure that no one gains unauthorized access to our systems and work with reliable partners who are aware of privacy and information security. Read more about the processing of data in our privacy statement.

Making two-factor authentication (2FA) mandatory

Two-factor authentication (2FA) is an extra security step when logging in: in addition to the password, the user confirms their identity with a second factor. With the setting Two factor authentication (2FA), you set the date from which 2FA is mandatory for all users in the environment. Read how to set this up in Activating 2FA verification for your environment.

Determining how external links are opened

With the setting Configuration for external link behavior, you determine what happens when a user clicks an external link in the Webcare and Media Monitor modules. The setting does not apply to Quick search and Reports.

The three options for external link behavior in the general settings of Engage

You can choose from three options:

  • Open without warning: the user is redirected directly to the original URL as soon as they click a link, as in most other programs.
  • Confirm before opening: a pop-up appears first in which the user confirms that they want to open the link. This allows them to cancel the action if they clicked a link by accident.

Pop-up in which the user confirms whether they want to open the external link

  • Block with warning pop-up: no one in the environment can open external links. When an external link is clicked, a warning appears stating that the user is not authorized to open the link. The user can only close the message.

Save and log in again to activate your choice

After choosing an option, click Save in the general settings. Then log out and log back in to Engage. Only then is the chosen option active.
