Bit.ly account
Below, you will find instructions on how to link a Bit.ly account. You can shorten a URL into a Bit.ly link to track how often the link is clicked.
The Link Shortener only works in conjunction with a Bit.ly account. If you prefer not to link a Bit.ly account, we recommend disabling access to the Link Shortener at the role level. See here for how to adjust a role.
Link Shortener
If you have enough tokens in your Bitly account, you can shorten links using the Link Shortener, Publish module, or Webcare. If your tokens run out, the link shortener will no longer work, and you need to purchase new ones in your account. Navigate to https://bitly.com/ to purchase new tokens or unlink the Bitly account using the steps below.
Linking
Under the general settings, you can link your own bit.ly account so that clicks are retrieved through your account.

Step 1: First, create an account via bitly.com. If you already have a bit.ly account, return to the Engage platform.

Step 2: Click on your login name at the top right, then click on General. This takes you to the settings where you can link your bit.ly account. Click on 'Retrieve Bitly token.'
- Step 3: You will be redirected to Bitly, where you log in with your Bitly credentials to complete the link.
Unlinking
If you prefer not to use Bitly anymore, you can unlink it.
- Step 1: 'Settings' > 'General' > click on 'Re-link'

Step 2: Afterward, click on 'account settings'
- Step 3: Remove the permission in your Bitly environment by clicking on 'Revoke Access.'
GDPR - automatically delete private data
This article discusses the automatic removal of private data in OBI Engage. After configuration, old data is deleted every night. Settings can be found under Settings > General > GDPR (AVG). Important: This option removes old private messages and webcare actions.
Please note! Administrators will receive a notification to activate or deactivate this option within 7 days before the data is permanently deleted.
Step 1: Enable setting
Navigate to Settings > General > GDPR - Automatically Remove Private Data. Once set up, data older than the specified number of months is automatically deleted every night.
Please note: Enabling this setting means that all private messages older than the specified number of months will be automatically deleted. Additionally, all webcare actions performed on both public and private messages will also be deleted. As a result, reporting on webcare actions for messages older than the set period is no longer possible.
Setting a removal period of 12 months means it's no longer possible to view how many (or which) messages were completed, answered, or tagged by which employee in the period prior to these 12 months.
Step 2: Notification Email
After activating this setting, a notification email is sent to all users in this environment with the administrator role. These users have 7 days to deactivate the settings. After 7 days, the data will be permanently deleted.
Why can't I retain static data and delete the content?
Spoler Engage is not designed to retain static data and delete the content, as this is a complex and intricate process. Data deletion helps ensure the system runs smoothly and complies with GDPR regulations (General Data Protection Regulation).

External link behaviour configuration
Do you want to customize how external links are opened in Webcare and Media Monitor? Please note, This configuration does not apply to Quick Searches and Reports, only for Webcare and Media Monitoring. This can easily be done through the 'General Settings' in Engage via 'Settings'.
Here, you can choose from three different options to determine the behaviour of external links:

Open without warning
If you choose this option, you will be immediately redirected to the original URL when you click on a link in Webcare. This may work similarly to what you are used to in other programs. -
Confirm before opening
With this setting, a pop-up message will appear first to confirm whether you want to open the link and be redirected to the original URL. You have the option to cancel the action if you accidentally clicked the link, preventing you from unintentionally opening a link. -
Block with a warning popup
If you opt for this option, no one within the Engage environment has permission to be redirected to the original URL of external links. When you attempt to open an external link, a warning popup will appear, indicating that you are not authorized to open the link. You only have the option to close the notification.
Please note: To confirm and activate the selected option, it is necessary not only to click "Save" in the general settings after making your choice but also to log out and log back into the Engage environment. We understand that this may not be ideal at times, but we are working to improve it.
