As the administrator of a supported social media platform, you can link it to the environment under Settings > Accounts. After linking, messages will be received in real time.
If you are not an administrator of a page, you can add it in Settings > Sources. After adding the page, the messages will still be received in the environment. Please note:
- To add a Facebook, Twitter, Instagram or Pinterest page, you must have linked at least one page per platform under Settings > Accounts. Due to privacy regulations of social media platforms themselves, we can only retrieve data from public pages.
- It can take a minimum of six hours to a maximum of seven days before you see messages coming in. This has to do with the data process with which we can and are allowed to retrieve the messages from social media platforms. If you want to monitor a page in real time, you will have to link it under Accounts.
On the Settings > Sources page you will find the following options:
Add Facebook page
It is possible to monitor public Facebook pages.
Step 1: To add Facebook Sources, navigate to Sources through Settings.
Step 2: Select the source type and enter the full URL of the page in the URL field. Then, click "Add."
Please note! It can take a minimum of six hours up to a maximum of seven days before you start seeing posts in your stream. This is related to the data retrieval process, allowing us to collect posts from social media platforms.
Which pages can I monitor?
Public Business Pages: You can only monitor official business pages, created and managed by the entity. For example: https://www.facebook.com/gemzaltbommel
You can monitor the account using the search query account:"Facebook page name." Please note! It's essential to use lowercase letters and put the name in quotation marks.
Which pages can't I monitor?
- Private Groups: If a group is private (indicated by a lock on Facebook), we cannot retrieve data from it. Posts from a Facebook group cannot be monitored, as the process is different from monitoring a public Facebook page. To track posts from a group, you need to be a member of that group with your personal Facebook account. Then you can see the group's content on Facebook. However, this feature is not supported in OBI4wan. You can identify a group in the URL title where 'groups' is mentioned, like https://www.facebook.com/groups/342895115912177.
- Unofficial Pages: Please note that pages not officially created by the entity cannot be monitored. These are "Unofficial Pages" created by fans, supporters, or individuals. We do not have permission to monitor such pages. You can identify an unofficial page in the URL title, where 'pages' is mentioned, such as https://www.facebook.com/pages/Brandweer-Bodegraven/2233074876922379.
- Personal Pages: We want to emphasize that we can only monitor business pages, not personal pages. Even if you make your personal page public, we still cannot monitor it. You can identify a personal page in the URL title, where 'profile' is mentioned, such as https://www.facebook.com/profile.php?id=100064602224581
Privacy Restrictions
Facebook, due to privacy concerns, does not permit external entities to retrieve data from personal Facebook accounts. Therefore, if an individual posts a message or status update on their personal timeline, we are not allowed to retrieve this content. Additionally, even if someone posts a message or status update on their personal Facebook page and mentions a company (resulting in the post appearing on the company page as well), we are not permitted to retrieve this content.
Indexing
Data indexing for linked sources occurs multiple times a day to manage the data flow efficiently. This means that a post might fall just outside one of these indexing moments, delaying its appearance in your environment.
We understand that this can be frustrating when posts just miss the indexing process. For instance, if a post has just missed an indexing, it may take some time before it gets loaded during the next indexing. Unfortunately, we cannot tell you the exact moments during the day when these indexings occur, as it's a complex process to load all data into your environment and others' as quickly as possible.
Add RSS feed
Spotler Engage gathers data from millions of sources using our public crawler. However, it's possible that not all websites are included. In this article, you will learn how to add an RSS feed.
An RSS feed is a page on a website where all news articles are posted without formatting, for example: https://www.nu.nl/rss. These websites can be imported into Spotler Engage, allowing them to be monitored.
Step 1: Go to Quick Search and type the operator 'site:' in the search bar, followed by the website.

Step 2: Do you see results appearing? That means the source is already included! If no results appear, you can continue with the rest of the steps.
Step 3: To add an RSS feed, go to the website from which you want to add the RSS feed and click on the RSS icon (see an example below). Please note that it's not about the website link but the link to the RSS feed.
Step 4: To add an RSS feed, navigate to Sources through Settings. Here, you can manually add a Facebook or RSS feed.
Step 5: Select the RSS feed source type and enter the full URL of the page in the URL field. Then, click 'add.'
If a website doesn't have an RSS feed, unfortunately, it's not possible to add it to OBI4wan on your own. Monitoring websites without the owners' consent is no longer possible. However, we do offer the option to subscribe to LexisNexis through Spotler, allowing you to import content into your environment for a fee. With this, you can receive data from well-known sources like telegraaf.nl, ad.nl, noordhollandsdagblad.nl, and so on. Please contact Spotler Support.
Add Instagram hashtags
Instagram pages that are not owned by you or linked in OBI Engage cannot be monitored directly. However, we can retrieve hashtags from public Instagram pages. You need to manually add these hashtags, and then the system will search for posts containing these hashtags on all public Instagram pages.
Step 1: Go to 'Settings' > 'Sources' and click on Instagram hashtags (direct link).
Step 2: Select the Instagram Business account for which you want to add a hashtag.
Step 3: Type the hashtag and click on save to add the hashtag (up to 30 per linked account).
Error 'Oops, something went wrong'
Reasons for the error message 'Oops, Something went wrong':
- If you have reached the limit of 30 hashtags per account, you cannot enable more than that.
- We do not allow the addition of a hashtag that already exists.
- We do not allow the addition of hashtags for an account to which you do not have access.
- Instagram needs to be re-linked using the above step-by-step plan.
- Meta permissions are not properly linked; in this case, you need to re-link the permissions following the steps provided here.
Before you can add hashtags, you need to "reset" or re-link the Instagram account. Follow the steps below:
Step 1: Navigate to 'Accounts' and click on ‘Link Account.’

- Select 'Account Type' > Instagram, and choose the roles with access to this account.
- Click ‘Continue with Facebook’ > Click ‘Edit Settings’ > Ensure everything is selected and click ‘Next.’
- Check that all checkboxes are activated and click ‘Done.’
- Click on the blue text 'Business Integrations Settings' > You will be linked to Facebook in a new tab.
- Here, you will see the integration with OBI4wan. Click on ‘View and Edit.’
- Double-check if all checkboxes are activated and click ‘Save.’
- Go back to the tab where OBI Engage is open and click ‘OK.’
- Select the Instagram account you want to link in OBI Engage.
- Click ‘Save’ > Now the account is relinked, and all settings are 'reset.'

Step 2: You can now search for a maximum of 30 hashtags per linked Instagram Business account.
Once you add and save a hashtag, you cannot modify it for a period of 1 week. After adding the hashtag, we can retrieve historical data for a maximum of 24 hours, doing so every 30 minutes (up to 500 posts per hashtag each time).
Step 3: Go to settings > sources and click on Instagram hashtags (direct link).

- Select the Instagram Business account for which you want to add a hashtag.
- Type the hashtag and click on save to add the hashtag (up to 30 per linked account).

At the bottom of the page, you can see the number of activated hashtags per linked Business account. You can also view the currently added and activated hashtags. Clicking on the trash bin icon removes an Instagram hashtag from the list.
Sources and monitoring
Spotler Engage collects data from social media platforms such as Twitter and 430,000 online sources, including websites, news sites, forums, and blogs.
In addition, data is retrieved from RSS feeds, linked Facebook accounts and sources, linked LinkedIn accounts, linked Instagram accounts, and hashtags.
With this real-time data, you stay informed about the latest developments. Through the Webcare module, you actively participate in conversations surrounding your organization, brand, services, or products.

Public Websites
For public websites, we can no longer provide guarantees because they are not premium content, and we do not purchase them directly from the source. Instead, we use our crawler to collect data from public websites. There have been significant changes in the GDPR and our contracts regarding public and paid sources. Loading articles from public websites has become complex. We are a third party that would like to load articles, but sometimes we are intentionally blocked by websites that do not want their articles used for data monitoring by third parties. If you would like to receive premium content, please contact your Customer Success Manager.
I'm missing an article from a website!
Our public crawler does not guarantee that all data from all websites is collected. It is important to understand that we do not have the same reach as search engines like Google.
We are not authorized to collect articles behind a paywall or account wall, as this is against the law.
We retrieve the title and a portion of the intro text from websites behind paywalls and account walls. This does not mean that we are allowed to retrieve the entire text, only the title and intro text. Retrieving the entire text is not permitted due to copyright restrictions. If your organization is mentioned in the text behind the paywall or account wall, we are not allowed to retrieve this content.
While we do our best to collect data from various sources, we cannot provide guarantees. If you want more certainty, consider entering into an agreement with one of our print media partners. For more information, you can contact your Customer Success Manager or send an email to support@obi4wan.com.
If you want to monitor a specific public website, we can add that website to our public crawler. You can request this by emailing support@obi4wan.com.
Print Media Partners
In addition to these online sources, it is possible to load offline data. By entering into an agreement with one of our print media partners, you gain access to newspapers, premium content, and print data. For more information, contact your Customer Success Manager or reach out to Support.
Indexing
It may happen that an online article is found later in your environment than the time of publication. This can have various reasons, such as the frequency/interval at which we "crawl" this specific website or a supplier providing this data.
The indexing of data from linked sources occurs several times a day to efficiently manage the data flow. This may result in a post just missing one of these moments, causing you not to have seen the post in your environment.
We understand that this can be frustrating when messages just miss these indexing times. For example, if a post has just missed one indexing, it may take a while before it is loaded with the second indexing. Unfortunately, we cannot tell you exactly when these moments occur during the day, as it is a complex process to load all data into your environment and others as quickly as possible.
